From address proof to signatory mismatches — the specific reasons GST applications get rejected in Karnataka jurisdiction, and how to avoid them.

GST registration in Karnataka is now mostly online, but the rejection rate for first-time applicants is still meaningful. Officers here have specific things they check, and if your application doesn't clear those, you'll either be asked for clarifications (REG-03) or rejected outright.

1. Address proof that doesn't match

The single most common reason. If your rent agreement says one plot number and the electricity bill says another, the officer will raise a clarification. Fix: both documents should show the exact same address. If they don't, get the landlord to update the rent agreement or use a supplementary letter.

2. Signatory not authorised in board resolution

For companies and LLPs, the authorised signatory in the application must match the person named in the board resolution or partnership deed. A director signing without a resolution is a common failure. Fix: attach a fresh resolution dated within 6 months, explicitly naming the signatory.

3. Virtual office addresses

Purely virtual office addresses (shared address, no physical presence) frequently get flagged for physical verification and then rejected. If you're using a co-working space or virtual office, get a formal address agreement, not just a receipt.

4. Missing HSN/SAC codes at application stage

You must declare the goods or services you'll supply, with HSN or SAC codes. Vague or missing codes trigger clarifications. Fix: pick codes at application, even if provisional — you can update them later.

5. Aadhaar authentication skipped

Aadhaar authentication is optional but skipping it almost guarantees physical verification. Fix: complete Aadhaar authentication during application — it's a 2-minute OTP, and it cuts your GSTIN turnaround from 15 days to 3–7 days.

Timeline expectations

With Aadhaar authentication and clean documents, most Karnataka jurisdiction applications clear in 3–7 working days. Without Aadhaar or with clarifications, budget 2–3 weeks.
